How to Handle Player Absences on Match Day

The Absence Reality

In recreational soccer, absences are inevitable. Family obligations, work conflicts, injuries, and simple forgetfulness mean you'll rarely have perfect attendance. The key is planning for absences rather than being surprised by them.

Prevention: Reduce Absences Before Match Day

  • Send reminders 48 hours before. A simple message in the team chat asking for confirmation.
  • Use attendance polls. Create a poll 3-4 days before the match with Yes/No/Maybe options. This gives you early visibility into numbers.
  • Set a confirmation deadline. "Reply by Thursday 8 PM or you're marked as unavailable." This forces early commitment.
  • Track attendance over time. Players who consistently no-show without notice can be spoken to privately.

The Substitute List

Maintain a list of 5-10 "standby" players — people who aren't regular members but are happy to fill in when needed. These might be friends of current players, players from other groups, or people who responded to social media posts but couldn't commit to every week.

Handling Uneven Numbers

When you end up with uneven numbers despite best efforts:

  • Rotating "extra" player: The extra player rotates between teams every 5-10 minutes, always joining the team without the ball.
  • Permanent neutral: One player plays for both teams (they help whichever team has possession).
  • Adjust team sizes: Play 7v6 with the smaller team getting a goalkeeper advantage or starting with the ball after every goal.
  • Reduce field size: On a smaller pitch, having one fewer player is less noticeable.

The Match Day Checklist

  1. Check final attendance 2 hours before kickoff
  2. Contact standby players if numbers are low
  3. Adjust team splits based on who actually shows up
  4. Have a backup plan for uneven numbers
  5. Start on time regardless — don't wait more than 10 minutes for latecomers
